1. Overview

This policy explains what information automationly — the brand of AUTOMATIONLY INC, a corporation based at 4611 E Chandler Blvd, Ste 112-1057, Phoenix, AZ 85048 — collects, how we use it, who we share it with, and the choices you have. It covers our marketing website, the "claim your website" process, client accounts and portals, and the services we operate for clients — including the AI assistant that answers calls and messages on a client's behalf.

2. Information we collect

We collect three broad categories of information:

  • Contact and account information. When you claim a mockup, contact us, or create an account, we collect details like your name, business name, phone number, email address, and the preferences you share with us (services, hours, pricing to display).
  • Communications handled by the AI assistant. When the assistant answers a client's phone or messages, we process call logs, SMS logs, message content, call recordings, and transcripts so the service can work — for example, to book an appointment, text back a missed call, and give the business owner a summary of each conversation.
  • Site and usage analytics. We collect standard analytics about visits to our website and to sites we host — pages viewed, approximate location, device and browser type, and referral source (including campaign tags such as the QR code on a card).

3. How we use information

  • To build, deliver, and improve the services — websites, hosting, the AI assistant, and CRM.
  • To follow up about a mockup you claimed or asked about.
  • To book appointments, send reminders, request reviews, and respond to inquiries on a client's behalf.
  • To provide client-facing records: call summaries, transcripts, and lead history.
  • To bill for the services and prevent fraud or abuse.
  • To comply with legal obligations.

We do not sell your personal information.

4. Calls, texts, and recordings

The AI assistant may record and transcribe calls it handles so that the business owner can review conversations and so we can maintain quality. Where the law requires notice or consent for recording, calls are configured to provide it. If you are a caller and prefer not to be recorded, you can say so on the call or contact the business directly. SMS consent and opt-out are described in our SMS Consent & Disclosures.

5. How we share information

We share information only with service providers who help us run the service — hosting and infrastructure providers, telephony and SMS carriers, calendar and scheduling providers, CRM infrastructure, payment processors, and analytics providers. These providers process information on our instructions and only as needed to provide their function. These include HighLevel Inc. (LeadConnector), which powers the chat widget on our site and the CRM that stores what you submit through it. We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a business transition (in which case this policy continues to apply).

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are not shared with any third party, except with the service providers above that deliver the messaging on our behalf, and those providers may not use it for their own marketing.

6. Information we process for clients

When the assistant answers calls or texts for a client business, the customer conversation data belongs to that business — we process it as their service provider. If you are a customer of one of our client businesses and have questions about how they use your information, contact that business directly; we will help them respond.

7. Cookies and analytics

Our sites use cookies and similar technologies for essential functionality (like keeping you logged in) and analytics (understanding which pages are useful and which campaigns — for example a QR code — brought you to us). You can control cookies through your browser settings; essential cookies are required for the portal to work.

8. Retention

We keep information for as long as needed to provide the services and for legitimate business purposes: account information for the life of the account plus a reasonable period afterward; call recordings and transcripts for the period configured for the client's plan; billing records as required by tax and accounting law. When information is no longer needed, we delete or de-identify it.

9. Security

We use reasonable administrative, technical, and physical safeguards to protect information — encryption in transit, access controls, and vetted infrastructure providers. No system is perfectly secure, so we cannot guarantee absolute security, but we will notify affected users of a breach as required by law.

10. Your rights and choices

  • You can ask us for a copy of the personal information we hold about you.
  • You can ask us to correct or delete your information, subject to legal retention requirements.
  • You can opt out of marketing emails via the unsubscribe link, and of texts by replying STOP.
  • If we built a mockup using your business's public information and you want it taken down, tell us and we will remove it — see the Mockup & Brand-Use Consent.

Depending on where you live, you may have additional rights under state privacy laws. We honor verified requests regardless of state.

11. Children

Our services are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12. Changes to this policy

We may update this policy as the services evolve. If we make material changes, we will notify you by email or through the portal before they take effect, and we will always show the "last updated" date at the top.
